Most event WiFi problems aren't caused by a bad router. They come from a connection with too little upload, too few access points for the hall, or card terminals sharing a network with three hundred phones. Event WiFi hire treats the network as part of the event plan: we look at the site, the crowd and what has to work, then build to that.
You deal with one team for the whole job: we arrange the internet connection, configure the equipment, install and test it before doors open, support it at the level agreed in your plan, and take everything away afterwards. How we size WiFi hire for events by headcount and space
We start with devices, not people. Working teams carry about 1.5 to 2 devices each; at public events it's closer to one per person, and not all of them are active at once. A starting point of about 50 devices per access point turns that into a first count.
Then coverage gets a say, and it often wins. Our planning assumption is roughly one access point per 900 m² of open floor, with more for walls, steel, racking and extra levels. How much does event WiFi hire cost?
Event WiFi hire is quoted per event or site after a survey or floor-plan review, because the cost depends on duration, headcount, the size and structure of the space, the internet connection, equipment, cabling and the support level. EventWiFi doesn't publish a price list. Ask us and we'll walk you through a comparable project so you can see what drives the number.
How far in advance should I book event WiFi?
Book event WiFi as soon as the venue is confirmed. If a new fixed-line or fibre service is needed, activation can take from a couple of business days to several weeks depending on the address and existing equipment. Shorter notice can still work with an existing venue line or 4G/5G routers, but the options narrow as the date gets closer.
Can you provide event WiFi outside Sydney?
Yes. EventWiFi's team is based in Sydney and travels for projects across Australia. For interstate events we plan the network with you before we travel: the floor plan, venue rules, internet connection and equipment are agreed in advance, so time on-site goes into installing and testing. Travel is one of the cost factors in the quote.
Do you stay on-site during the event?
That depends on the support level agreed in your plan. Some events need only a clear handover and a contact; others want scheduled check-ins, a visit when the layout changes, or someone on-site for key moments like doors opening or a stream going live. The level is agreed before the event so everyone knows what to expect.
Is event WiFi hire just an equipment drop-off?
Not unless that's what you want. A full event WiFi hire covers the survey, internet connection, equipment, configuration, installation, testing, support and pack-down. Some organisers with their own IT staff prefer to hire equipment only, and we can talk through which approach suits your event, your team and the risks involved.
